Position Summary

The Payroll Manager is responsible for the end-to-end administration of employee and physician payroll while ensuring compliance with all federal, state, and local regulations. This role oversees payroll operations, physician compensation processes, payroll accounting, payroll-related systems, and process automation initiatives. The Payroll Manager partners closely with Human Resources, Accounting, Finance, Licensing, and Operations to ensure accurate payroll processing, timely financial reporting, compliance with employment agreements, and continuous process improvement.

Direct Report Responsibilities

This position has no direct reports but may mentor and train the Accounting Staff on contractor payroll and payroll-related processes.

Duties/Responsibilities

  • Manage the full payroll cycle for employees and high-volume independent contractor (1099) physicians.
  • Prepare/review, maintain, and reconcile the 1099 Payroll Master File, including ongoing adjustments.
  • Review payroll data for completeness and accuracy and process off-cycle payrolls, bonuses, commissions, retroactive adjustments, and special payments.
  • Develop and maintain a thorough understanding of employee and physician contracts to accurately interpret and process non-standard payroll items.
  • Calculate commissions for the Sales and Recruiting teams and maintain supporting documentation.
  • Manage the Physician License Recoupment process, including tracking, payroll deductions, reconciliations, and communications.
  • Serve as the primary contact for physician payroll inquiries and maintain the Payroll Inquiry Log in Quickbase.
  • Administer payroll software, timekeeping systems, and the Payroll Transparency Application.
  • Partner with Accounting and IT to test, develop, and implement payroll automation initiatives in Quickbase.
  • Prepare payroll journal entries, account reconciliations, and benefit reconciliations.
  • Support monthly, quarterly and annual payroll filings and other payroll reporting activities.
  • Serve as Concur Administrator, including expense report review, policy compliance, and expense analysis.
  • Serve as Corporate Credit Card Administrator.
  • Coordinate payroll tax registrations and manage state payroll registrations with Corporate Tax.
  • Improve payroll onboarding and review processes for new physicians and new sites.
  • Support payroll budgeting and forecasting by providing payroll analyses and projections.
  • Support internal and external payroll and workers compensation audits and maintain compliance with federal, state, and local payroll regulations.
  • Partner with HR, Finance, Accounting, Licensing & Credentialing, and Operations to ensure payroll accuracy and strong internal controls.
  • Continuously identify opportunities to improve payroll processes, automation, and operational efficiency.

Required Skills/Abilities

  • Strong knowledge of multi-state payroll, wage and hour laws, payroll tax regulations, and garnishment requirements.
  • Experience with payroll accounting, journal entries, reconciliations, and financial reporting.
  • Ability to interpret employment agreements and independent contractor agreements.
  • Advanced Microsoft Excel skills.
  • Experience with payroll systems, HRIS, Quickbase, and Concur preferred.
  • Strong analytical, organizational, and customer service skills.
  • Excellent written and verbal communications skills, with the ability to communicate very detailed information at an executive level.
  • Strong business partnership skills and the ability to build trust across multiple functional areas

Education & Experience

  • Bachelor’s degree in Accounting, Finance, Business Administration, or equivalent work experience required.
  • Minimum of five years of progressive payroll experience.
  • Experience processing both W-2 employee and 1099 contractor payroll.
  • Healthcare or physician compensation experience strongly preferred.
  • Experience with different variable compensation models.
  • Experience with payroll process improvement and system implementations preferred.
